Cold Calling – Warm Calling

CANVAS Playbook

Cold Calling: Find the Leads, Work the Data, Use BoldTrail as Your Dialer

Cold calling works when you call the right people, with a clear plan, every day. This guide shows where to find leads, how to build call lists with Remine, and how to make your calls inside BoldTrail so every call is tracked.

Why cold calling still matters

Cold calling is still one of the most productive and successful ways to win listings. It is direct. You talk to the owner, you hear what they need, and you can set an appointment in the same conversation. No other activity gives you that speed.

It works even better when it is not the only thing you do. Combine your calls with:

  • Email marketing to your database. Your past clients and contacts keep seeing your name and your market updates.
  • Social media targeting. When you focus on one area (your farm), you can show your ads and posts to the people who live there.
  • Postcards. A postcard in the mailbox gives the owner a reason to know who you are before you call.

When the owner has already seen your email, your social media, and your postcard, the call is not cold anymore. It is a warm call. The person recognizes your name, and the conversation starts easier. Pick one area, use all of these tools in that area, and call the same people again and again.

Before you dial

Calling people you do not know is regulated. Check every list against the National Do Not Call Registry, the Florida Do Not Call list, and your own internal do-not-call list before you call. Follow the allowed calling hours and the rules on automated dialing and text messages. Rules change, so confirm directly with your broker or office administrator before acting.

1. Where to find leads

A good call list has people who have a real reason to talk to you now. Start with these groups:

  • Expired, withdrawn, and canceled listings. The owner wanted to sell and did not. Search these in the MLS every week.
  • For sale by owner (FSBO). The owner is already trying to sell. Check the Do Not Call status before you call.
  • Your own database. Past clients, sphere, old leads, and people who did not close. These are warm calls, not cold calls, and they often give the best results.
  • Owners with long ownership and high equity. They can sell and make a profit. Remine helps you find them (see section 2).
  • Absentee and investor owners. They own property but do not live in it. Good for rental, sale, and property management conversations.
  • Your farm area. Pick one or two neighborhoods or condo buildings and call the same area every week. Repetition builds recognition.
  • New construction and development areas. Owners and investors in new projects often have questions about resale and rental value.

2. Remine searches

Remine lets you filter properties and owners to build a targeted list. Features can change with your plan, so use the filters you see in your account. A simple routine:

  1. Choose one area. One city, one zip code, or one condo building.
  2. Set your filters. Examples: years of ownership, estimated equity, owner does not live at the property, recent expired or canceled status.
  3. Keep the list small. Between 25 and 50 names is enough for one calling session.
  4. Check the contact data. Remove any number on a do-not-call list.
  5. Save the search. Run it again every week to see new names.
  6. Move the list into BoldTrail. Import the contacts and tag them with the source and the date, for example Remine – Expired – Oct 2026.
Simple rule

One search, one list, one calling block. Do not build a list of 500 names that you will never call.

3. Using BoldTrail as your dialer

Make your calls from inside BoldTrail, not from your personal phone notes. Then every call, note, and next step stays in one place. Menu names can change, so use the video below to see the current screens.

  1. Build a call list. Use a Smart List or a tag so you see only the people you plan to call today.
  2. Block your time. Pick a fixed time each day, for example 60 to 90 minutes, and do not check email during it.
  3. Call from the CRM. Start calls from the contact record so the call is logged.
  4. Write a note after every call. One line is enough: who you spoke to, what they said, what happens next.
  5. Set a follow-up. Every contact who is not a no gets a date for the next touch.
  6. Use a plan or campaign for follow-up. Send a short text or email after a call so the person remembers you.
  7. Review your numbers weekly. Dials, conversations, appointments set. If you do not measure it, you cannot improve it.

4. Video training

Watch this video and then use the steps above in your own market.

5. Call script frameworks

The call structure below is based on ideas from the REDX ebook Real Estate Lead Scripts. Credit to REDX (theredx.com). We summarized the main ideas in our own words. For the complete word-for-word scripts, download the ebook directly from REDX.

Start the call: confirm you have the right person

Ask for the owner by first name. If the person says you have the wrong number, say the full name. If that does not work, confirm the property address. If it is still the wrong person, ask if they have a number for the owner.

What to ask by lead type

Lead typeGoal of the callTopics to ask about
ExpiredUnderstand why the home did not sell and if the owner still wants to sellWhy it did not sell, what they liked or did not like about the first agent, where they plan to move, how soon
FSBOOffer help and earn a conversationHow they market the home, how they chose the price, how motivated they are, how long they will try alone, if they would pay a buyer agent commission
FRBOUnderstand their plan for the propertyWhy they own it, other rentals, when the value was last checked, if selling could make sense
Just listed / just soldStart a conversation with neighborsTell them about the nearby property, ask who they know who wants to move to the area, ask about their own plans and timing
Pre-foreclosureOffer information and options with respectIf they plan to sell or keep the home, if they have an agent, what they know about their options
Pre-foreclosure calls

These owners are in a difficult situation. Be respectful, do not make promises you cannot keep, and follow all state and federal rules. Confirm directly with your broker or office administrator before acting.

Six principles for any script

  1. Lower the owner’s guard first. Do not start with a request to list. Start with a simple, easy question.
  2. Ask and listen. Let the owner talk about the home, the past experience, and the plan. Use what you hear later in the call.
  3. Understand the frustration. Many of these owners are tired of the process. Show that you understand before you offer anything.
  4. Talk about the cost of waiting. Mortgage payments, taxes, and time all continue while the home is not sold. Use facts, not pressure.
  5. Offer to help, then ask for the appointment. Explain what you will prepare and what is different about your plan. Do not promise results you cannot guarantee.
  6. Offer two times. “Is Tuesday or Wednesday better for you?” Even if the owner says “I will think about it,” offer a time and keep the door open.

Common objections

Owner saysDirection for your answer
“How did you get my number?”Answer honestly (public records and data sources), then go back to your question.
“I already have an agent or an appointment.”Respect it. Offer a second opinion so the owner can compare plans.
“I need to talk to my spouse.”Respect it. Ask when they will talk and set a time when both can be present.
“I will sell it myself.”Ask how long they plan to try alone. Offer information with no obligation.
“Will you lower your commission?”Ask what matters more: the fee or the net amount they keep. Offer to show your plan in person.

6. CANVAS call scripts

These scripts were written for CANVAS agents. Use the words as written at first. When you feel comfortable, change them to sound like you. Replace the words in [brackets] with your own information. Before every call, check the number against the Do Not Call lists.

Script 1: Open the call (all lead types)

Agent: Hi, may I speak with [Owner first name]? [If the person says wrong number] Agent: I am sorry about that. I am looking for [Owner full name]. Is this the right number? [If still no] Agent: Thank you. I am calling about the home at [address]. Do you know how I can reach the owner? [If yes, thank them and ask for the number. If no, thank them and end the call.]

Script 2: Expired listing

Agent: Hi [Name], this is [Agent] with CANVAS Real Estate. I saw that your home at [address] is no longer on the market. Do you have two minutes for a few questions? 1. In your opinion, what is the main reason the home did not sell? 2. What did you like about how the first agent worked? What would you want to be different? 3. Do you still want to sell the home, or did you decide to stay? [If they still want to sell] 4. Where would you like to move next? 5. By what date would you like to be there? Agent: Thank you for sharing that. Here is what I suggest. I will review your home, the price, and how it was marketed, and I will show you a plan that is different from the first one. It takes about 30 minutes and there is no obligation. Is [Day] at [Time] or [Day] at [Time] better for you?

Script 3: For sale by owner (FSBO)

Agent: Hi, I am calling about the home for sale at [address]. Is it still available? [If yes] Agent: My name is [Agent] and I am with CANVAS Real Estate. I work with buyers in your area. I am not calling to take your listing today. I wanted to ask if you would work with a buyer’s agent if I bring you a buyer. [Listen. Then ask:] 1. How has the sale gone so far? How many showings have you had? 2. How did you decide on your price? 3. On a scale of 1 to 10, how important is it for you to sell soon? 4. If the home is not sold in [number] months, what will you do? Agent: I can send you a short report of homes that sold near yours. You can use it to check your price, even if you sell on your own. Do you prefer to receive it by text or by email? [After you send it] Agent: If you would like, I can also come by for 20 minutes and explain how I would market the home. Is [Day] at [Time] or [Day] at [Time] better?

Script 4: For rent by owner (FRBO)

Agent: Hi, I am calling about the rental at [address]. Are you still looking for a tenant? [If yes] Agent: My name is [Agent] with CANVAS Real Estate. I work with owners and investors in this area. I am not calling to sell you anything today. I wanted to understand your plan for the property. 1. Did you buy this property as an investment, or did it become a rental for another reason? 2. Do you have other rental properties? 3. How long has the property been vacant? 4. When did you last check what the property is worth? 5. If the numbers made sense, would you consider selling it? Agent: I can prepare two things for you: what similar properties rent for, and what similar properties sell for. Then you can compare both options. It takes 20 minutes to review. Is [Day] at [Time] or [Day] at [Time] better?

Script 5: Just listed or just sold (neighbors)

Agent: Hi, may I speak with [Name]? This is [Agent] with CANVAS Real Estate. I am calling neighbors because we just [listed / sold] a home on [street name]. It has [number] bedrooms and [number] bathrooms and it [is listed at / sold for] [price]. 1. Do you know anyone who would like to live in this area? 2. Have you or your family thought about moving in the next year? [If yes] 3. Where would you like to move? 4. About when? Agent: Homes in your area are getting attention right now. I can send you a short report with the sale prices on your street. Would you like it by text or by email? [If they plan to move within a year] Agent: I would like to show you what your home may be worth today. Is [Day] at [Time] or [Day] at [Time] better?

Script 6: Pre-foreclosure

Agent: Hi, may I speak with [Name]? This is [Agent] with CANVAS Real Estate. I am calling to see if I can be a resource for you. I understand this may be a difficult time, so I will be brief and respectful. 1. Are you planning to keep the home, or are you thinking about selling it? 2. Do you have an agent or an attorney helping you? 3. Have you been able to talk with your lender about your options? Agent: I cannot give legal advice, and I recommend that you speak with a housing counselor or an attorney. What I can do is explain what a sale could look like and what you could expect. There is no cost and no obligation. Would you like to meet on [Day] at [Time], or would you prefer a phone call first?
Important

Do not promise to stop a foreclosure and do not give legal advice. Follow all state and federal rules for distressed homeowners. Confirm directly with your broker or office administrator before acting.

Script 7: Answers to common objections

“How did you get my number?” Agent: I found it in public records and in real estate data services that we use. I understand if that is a surprise. I only wanted to ask you a quick question about your home. Is now a good time? “I already have an agent.” Agent: That is good to hear. I respect that. If you ever want a second opinion on your price or your marketing plan, I am glad to give you one at no cost. Would you like me to send you a short report? “I need to talk to my spouse.” Agent: Of course. This is a decision for both of you. When do you plan to talk? Let us choose a time when both of you can be there. Is [Day] at [Time] or [Day] at [Time] better? “I want to sell it myself.” Agent: That is a reasonable plan. How long do you want to try on your own before you consider other options? If I bring you a buyer during that time, would you pay a buyer agent fee? In the meantime, I can send you a report of recent sales to help you with your price. “Will you lower your commission?” Agent: I understand. Cost is important. What matters more to you: the fee you pay, or the amount you keep after the sale? I would like to show you my plan and the expected numbers, so you can compare. Is [Day] at [Time] or [Day] at [Time] better? “I want to wait.” Agent: I understand. It sounds like the process has been tiring. May I ask what would need to change for you to feel ready? I can send you a report now and call you again on [Date]. Is that all right? “I will think about it.” Agent: Of course. To make it easy, I will reserve [Day] at [Time] for you. If you change your mind, call or text me and we can move it. I will prepare your home report before then. Is that all right?

  • Listados vencidos, retirados y cancelados.
Remine te ayuda a encontrarlos (ver sección 2).

Usa hechos, no presión.

Importante

Guion 7: Respuestas a objeciones comunes
